There are a few important things that you have to follow while sending your documents to renew your Indian passport in Germany. Below are the 4 things you should do for passport renewal. I have categorized the above-mentioned points based on the activity you should do.

Filled passport application form
The first step is to fill out the passport renewal application form. Select the correct category for filling out the form. It takes approximately 45 minutes to 1 hour to fill out the complete application form. It is possible to save the form and proceed later.
Transfer fees
Transfer the fees for the passport renewal to the bank account mentioned on the embassy or consulate website. Mention the details in the “verwendungszweck” as mentioned on the embassy or consulate website.
Printout
You should have the following documents as a hard copy (printout) to send with the application form. While printing the application form, do not select “fit to paper”.
- Filled passport application form
- Consent letter (for a minor child)
- One copy of the front and last page of the Passport.
- One copy of Visa or Aufenthaltstitel or Niederlassungserlaubnis (Residence permit)
- Copy of City Registration (Meldebescheinigung)
- Copy of payment evidence (Receipt of fee)
You can use the city registration form even if it is not older than 6 months. I have submitted a city registration form that is more than 3 years old and it was accepted.

Signature in the application form
In general, you should sign in 2 pages on the application form which you have filled out online. One is on the first page and the next signature is on the last page.
Passport photos
You need 2 passport photos for the passport renewal. You should paste one on the front page where you can see the photo section on the passport preview. Staple the second photo on the last page of the application form. The dimension of the photo is not the one that we use for the Germany visa renewal.

Medium size envelop
It is mandatory to send a medium size envelope for the delivery of a new passport booklet by post. You should buy the envelope yourself. You can buy the stamp from the post office or post office stamp automatic machine. It costs a maximum of 4.85€. You should write your address on the envelope to receive the post.
The registered stamp for return postage is different from sending the registered post. So, clearly mention at the post office that you will get back the medium size envelope per post. Mostly all the employees in the post are aware of this and it is not difficult to explain them. You can also mention the German word “Einschreiben Rückschein” to get the correct type of stamp.
You can choose two options,
- Receive post by signing (your presence is necessary while receiving the new passport)
- Receiving post in the post box (your presence is not necessary while receiving the new passport)

You should have the following documents in your main envelope for the passport renewal.
- Signed passport application form with photos
- One copy of the front and last page of the passport
- One copy of Visa, Aufenthaltstitel, or Niederlassungserlaubnis (Residence permit)
- One copy of city registration (Meldebescheinigung)
- One copy of payment evidence (Receipt of fee)
- Original Passport
- Medium size envelop
- Cover letter
- Consent letter from Parents if the child is minor
You can send the post once you had packed all the above documents. It is better to send as a registered post because of the passport which you send. It is not necessary to do but just my recommendation.

Hello:) Thanks for your article. I have a question regarding the stamps for the envelope that I will get back my passport in. The embassy’s page says I have to put in a stamp worth 4.50 Euros. Do I just have to go to Deutsche Post and tell them that I need a registered post to recieve my passport in and will they provide me with this envelope with the stamp worth 4.50 Euros? I’m a little confused as to what I need to convey at the post office. Thanks in advance:)

– You have to buy the envelope, you won’t get it for free from the post office with the stamp.
– You can ask for the “Rückschein” for the registered post stamp. The price could be a few cents more now than before.
